We respect your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit bcdentalstudyclub.ca (the “Site”) or register for and attend our programs and events (the “Programs”).

 

Scope. This Policy covers personal information collected from Site visitors, registrants, attendees, speakers/faculty, and business contacts. Separate consents and forms apply to livepatient sessions (if any). For the contract terms that apply to registration and attendance, see our Program Terms & Conditions.

1) Who we are & how to contact us

Our Privacy Officer can answer questions, handle requests to access/correct information, and investigate complaints.

2) Personal information we collect

We collect the following types of information, as appropriate to the context:

 

  • Identity & contact: name, professional title, practice name, email, phone, mailing address.​
  • Professional & eligibility: role (e.g., dentist, hygienist, assistant, lab tech), licensing/permit information (for programs that require it), insurance confirmation (for livepatient modules).​
  • Account & transaction: registrations, purchases, CE hours, certificates, attendance, module completion, feedback, support requests.​
  • Payment: processed by our payment provider; we do not store full card numbers.​
  • Communications: emails, messages, survey responses.​
  • Media: photos, audio, and video captured at Programs in accordance with our Terms (e.g., classroom recordings, gala photos).​
  • Preferences: marketing optins, dietary preferences (to help us accommodate, where feasible).​
  • Technical/usage: IP address, device/browser type, pages viewed, time on page, and cookie identifiers (see Cookies & Analytics).​

 

Patient information. We avoid collecting patientidentifying information. For livepatient Programs, separate forms and consents apply; case materials should be deidentified wherever possible.

3) How we collect it

  • Directly from you: when you browse the Site, register, attend, email us, complete forms, or participate in surveys.​
  • Automatically: via cookies and similar technologies when you use the Site.​
  • From partners/service providers: ticketing/registration platforms, learning platforms, email tools, payment processors.​
  • From faculty/host sites: attendance status, module completion, and eligibility confirmations (limited to what’s necessary to operate the Program).​

4) How we use personal information (purposes)

We use personal information to:

1.​ Provide and manage Programs (register you, verify eligibility for specific activities, deliver content, issue CE certificates).​

2.​ Communicate (transactional messages, event logistics, policy updates, support).​

3.​ Process payments and maintain records for accounting, tax, and audit.​

4.​ Safety & compliance (eligibility checks where required, incident reporting, venue and infectioncontrol requirements).​

5.​ Improve our offerings (analytics, feedback, quality assurance).​

6.​ Market our Programs (with your consent, where required; you can opt out anytime).​

7.​ Protect our rights (prevent fraud/abuse, enforce our Terms).​

8.​ Meet legal obligations and respond to lawful requests.​

 

We collect, use, and disclose personal information with your consent or as otherwise permitted or required by law. For example, we rely on express consent for marketing; implied consent for many operational uses needed to deliver Programs; and legal permission for safety/compliance.

5) Sharing & disclosure

We do not sell your personal information. We may share it as follows:

  • Service providers (in Canada and outside of Canada) under contract to provide services like site hosting, registration/ticketing, learning delivery, video/webinar platforms, email and communications, analytics, payment processing, and customer support.​
  • Faculty & host venues/clinics to operate Programs (limited to what’s necessary, e.g., rosters, eligibility confirmations).​
  • Regulators/accreditors/insurers if required to verify CE credits, manage incidents, or comply with law.​
  • Business transfers (e.g., merger or asset transaction) where the recipient agrees to comparable safeguards.​
  • Legal: to comply with law, court order, or lawful request; to protect safety, rights, or property.​
  • With your direction or consent, such as when you authorize us to share your details for specific purposes.​

5A) Sharing of Information with Event Sponsors

At certain in-person Programs or events, BCDSC partners with sponsors and exhibitors who support the educational content or provide products and services of interest to dental professionals.

 

When you register for or attend a sponsored Program or event, we may share limited attendee information with those sponsors, such as:

  • ​ name, practice or organization name, city, province, professional role, and email address; and​
  • ​ event details (e.g., session attended or registration category).​

 

Sponsors use this information to communicate with attendees about their products or services and to evaluate event participation.​

We do not sell attendee lists, and we require sponsors to use the information only for legitimate business or educational purposes related to the event and to provide an opt-out in their communications.

If you prefer not to have your information shared with event sponsors, please contact privacy@bcdentalstudyclub.ca before the event or indicate your preference where available during registration. We will record and respect your opt-out choice.

6) International transfers

We use reputable service providers in Canada and outside of Canada. Your information may be transferred to and processed in other jurisdictions, which may have different dataprotection rules. We use contractual and organizational measures designed to protect your information when it is processed outside Canada.

7) Retention

We retain personal information only as long as needed for the purposes described in this Policy or as required by law (e.g., tax and accounting records, CE documentation). When no longer needed, we delete or anonymize it in a reasonable timeframe.

8) Your choices & rights

  • Access & correction: You may request access to your personal information in our custody and request corrections for accuracy. We will respond within 30 days or explain if additional time is required.​
  • Withdraw consent / marketing optout: You may withdraw consent to nonessential uses (e.g., marketing) at any time using unsubscribe links or bycontacting us.​
  • Cookie controls: Manage cookies via your browser settings or cookie banner (where applicable).​
  • Identity verification: We may need to verify your identity before fulfilling certain requests.​

9) Cookies & analytics

We use:

  • Necessary cookies (security, login, basic site functions);​
  • Analytics cookies to understand how the Site is used (e.g., pages visited, time on site) so we can improve content and navigation;​
  • Preference cookies (e.g., to remember your choices).​

 

You can adjust cookie settings in your browser. Blocking some cookies may affect site functionality. If we implement additional advertising/retargeting tools, we will reflect that in this Policy or a cookie banner.

10) Event photography & recordings

We capture photos and recordings at Programs. We use these in accordance with our Program Terms & Conditions (e.g., for educational, promotional, and archival purposes). If you do not wish to be individually identifiable in marketing materials, contact info@bcdentalstudyclub.ca at least 48 hours before the event; we will make reasonable efforts to accommodate (educational recordings may not be subject to optout).

11) Security

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including access controls, encryption in transit where feasible, and vendor diligence. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.

12) Breach notification

If a privacy breach creates a real risk of significant harm, we will notify affected individuals and the Office of the Information and Privacy Commissioner for British Columbia (OIPC) as required by law, and take steps to mitigate risk.

13) Children

Our Site and Programs are intended for adults (18+). We do not knowingly collect personal information from children.

14) Third‑party links

The Site may link to thirdparty websites. We are not responsible for their privacy practices. Review those sites’ policies before providing personal information.

15) Changes to this Policy

We may update this Policy periodically. When we do, we will update the Effective Date above. Material changes will apply prospectively.
