Program Terms & Conditions
(Canadian ProDental Education Network Inc., dba “BC Dental Study Club” or “BCDSC”)
Effective Date: October 17, 2025
Scope. These Terms apply to registration for and attendance at BCDSC Programs (including webinars, lectures, hands‑on sessions on models or pig jaws, and any live‑patient modules offered in British Columbia) and to your use of any Program‑related materials or platforms we provide for those Programs. “Materials” means slides, handouts, checklists, protocols, case studies, photos, and any recordings we distribute.
1. Acceptance
You agree to these Terms by checking the box at checkout, completing a registration, or attending a Program. If you register on behalf of another attendee, you represent that you have authority to bind them to these Terms.
2. Who May Attend (Eligibility)
- Webinars & model/pig‑jaw hands‑on: open to dental professionals and other dental‑industry participants (e.g., assistants, hygienists, lab technicians, suppliers/industry reps). BC licensure is not required for these non‑patient activities unless otherwise stated for a specific course.
- Live‑patient activities (if offered): require current BC licensure/authorization for the scope performed and appropriate professional‑liability insurance. BCDSC may verify credentials and may decline or revoke participation for non‑compliance.
- Age: attendees must be 18 or older.
3. Accounts & Communications
You are responsible for your account, password, and accurate information. You consent to receive electronic communications (email or portal) about registrations, logistics, and policy updates.
4. Pricing, Taxes, Payment & Chargebacks
Unless stated otherwise, prices are in Canadian dollars (CAD) and exclude GST/PST. You authorize BCDSC (and our processor) to charge your selected payment method for tuition, fees, and taxes. Contact us first to resolve billing issues; you agree not to initiate chargebacks for amounts governed by these Terms. Past‑due balances may accrue 1.5% per month (18% per annum) or the maximum allowed by law, plus reasonable collection costs.
5. Cancellations, Transfers & Substitutions (Standard Events & Webinars)
- Your cancellation:
- ≥ 30 days before the event → refund minus the actual processing or admin fees charged to BCDSC by third‑party platforms or payment processors.
- 14–29 days → 50% refund.
- < 14 days or no‑show → no refund.
- Substitutions (no fee): you may substitute a qualified attendee up to 3 days before the event (any prerequisites still apply).
- One date transfer/rebooking (no fee): one like‑for‑like transfer to the same course within 12 months if requested ≥ 14 days before the original date and subject to availability. Requests inside 14 days are treated as cancellations.
- Our cancellation/material reschedule: if we cancel or materially reschedule, your sole remedy is a full refund of Program fees paid for that event (we do not reimburse travel or other consequential costs).
- Refund timing: approved refunds are returned to the original payment method within 30 days.
6. Program‑Specific Terms — Implant Training Program
- Tuition & fees: as listed at registration. A registration fee/deposit may be required to hold your seat.
- Installments: any remaining balance is payable in 10 equal monthly installments from January through October, on the dates shown at checkout.
- Registration‑fee refunds (relative to program start date):
- ≥ 60 days → 100% refundable;
- 30–59 days → 50% refundable;
- < 30 days → non‑refundable.
- After start:
- Missed module for documented medical/family emergency → may attend the module in a future cohort, subject to availability and Program Director approval; no refund; installments continue.
- Withdrawal for documented medical/family emergency → prorated waiver of future unpaid installments, based on modules remaining, subject to Program Director approval.
- BCDSC cancellation: if BCDSC cancels the program, we refund all amounts paid (deposit + installments).
- Attendance: modules run as scheduled; personal rescheduling isn’t permitted to maintain cohort continuity.
6A. Program Fit and Dismissal
The Implant Training Program is a selective educational series requiring professionalism, collaboration, and adherence to clinical and academic standards. If at any time the Program Director, Scientific Chair, or faculty determine, in their reasonable judgment, that a participant’s conduct, preparedness, performance, attitude, professionalism, or clinical skill level is incompatible with the objectives or safety standards of the program, BCDSC may dismiss the participant.
Notice and process
- The participant will receive written notice stating the reason for dismissal.
- When feasible, the participant may discuss the matter with the Program Director or Scientific Chair before a final decision.
Refund / payment handling
1. Before the program starts: refund of all payments.
2. After the program begins: refund only for the unused portion of any prepaid tuition for modules not yet delivered, prorated by remaining modules. No refund for modules already completed or in progress. If on a payment plan, no further installments are charged after the effective dismissal date.
3. For cause: if dismissal is due to serious misconduct, breach of these Terms, or violation of safety or ethical standards, no refund is issued, and all unpaid installments remain payable.
Effect of dismissal
Dismissal ends the participant’s right to attend remaining sessions or access related Materials, online content, or recordings. The participant remains bound by all confidentiality, intellectual‑property, and release/waiver provisions of these Terms.
Non‑discrimination and good‑faith decision making
BCDSC is committed to an inclusive, respectful learning environment free from discrimination or harassment based on race, colour, ancestry, place of origin, religion, sex, gender identity or expression, sexual orientation, age, family status, disability, or any other ground protected by law. Decisions regarding admission, participation, or dismissal are made solely on educational, professional, safety, and behavioural grounds. By enrolling, you acknowledge that any dismissal or other decision made in good faith under this section does not constitute discrimination, defamation, or personal bias, and you waive any claim arising from such good‑faith determinations to the extent permitted by law. (Nothing in this section limits any non‑waivable rights under the BC Human Rights Code.)

We may cancel or reschedule for events beyond our reasonable control, including public‑health orders, facility issues, supply constraints (e.g., models/pig jaws), or extreme weather. Your sole remedy is the limited refund in Sections 5–6.
7. Changes & Force Majeure
We may change instructors, content, venue, date, format (e.g., live vs. webinar), or capacity. We may cancel or reschedule for events beyond our reasonable control, including public‑health orders, facility issues, supply constraints (e.g., models/pig jaws), or extreme weather. Your sole remedy is the limited refund in Sections 5–6.
8. Education‑Only; Independent Clinical Judgment; No Reliance/Guarantee
BCDSC provides continuing education, not dental care. No dentist‑patient relationship is created between BCDSC and any patient. Program content and Materials are general educational information and do not constitute professional advice for any particular patient or case.
You are solely responsible for independent clinical judgment, compliance with BC laws, standards, and BCCOHP requirements, appropriate case selection, and patient outcomes. No outcomes are guaranteed. To the maximum extent permitted by law, BCDSC disclaims responsibility for any patient outcome, claim, or loss arising from your application or misapplication of information obtained at a Program or in the Materials.
9. Live‑Patient Activities (If Any)
Where a Program includes live‑patient components, separate Program‑specific terms and consents apply and will be provided in advance. Those documents govern in the event of any inconsistency with these Terms.
10. Social Events and Food & Beverage Service
From time to time, BCDSC provides food and beverages (including at workshops, receptions, and gala dinners). Participation is voluntary and subject to these Terms and any venue rules or staff directions.
- Allergies & dietary needs. We will make reasonable efforts to accommodate dietary requests if notified in advance, but we cannot guarantee an allergen‑free environment or prevent cross‑contact. You are responsible for verifying ingredients and taking appropriate precautions (e.g., carrying prescribed medication).
- Alcohol (where served). You must be of legal drinking age and present valid ID on request. Consume responsibly and arrange safe transportation. BCDSC may refuse or cease service, limit consumption, or remove any attendee who appears impaired or violates venue rules, without refund. No outside alcohol is permitted.
- Third‑party vendors. Catering and venue providers are independent contractors; BCDSC is not responsible for their acts or omissions.
- Photos/recordings. Photographs and recordings may be taken and used in accordance with the Media, Recordings & Attendee Photography section of these Terms.
- Assumption of risk & release. You understand that consumption of any food or beverage is at your own risk. To the maximum extent permitted by law, you release and hold harmless BCDSC and its representatives from claims arising out of or related to such consumption, except to the extent caused by BCDSC’s gross negligence or willful misconduct.
11. Assumption of Risk; Release/Waiver; Indemnity
Risk. Participation involves inherent risks, including cuts/needlesticks, exposure to bloodborne pathogens or communicable diseases, allergic reactions, radiographic exposure, ergonomic strain, property loss, and travel/facility risks.
Release/Waiver. To the maximum extent permitted by BC law, you release and hold harmless BCDSC, its owners, directors, officers, employees, contractors, faculty, sponsors, and venues (the “Released Parties”) from claims, damages, losses, costs, and liabilities arising from or related to your participation, except to the extent caused by a Released Party’s gross negligence or willful misconduct.
Indemnity. You agree to defend, indemnify, and hold harmless the Released Parties from third‑party
claims (including patient or regulatory claims) arising from your acts or omissions, breach of these Terms, or violation of law.
12. Code of Conduct & Removal
Harassment, discrimination, disruptive or unsafe conduct, intoxication/impairment, unauthorized recording, or violation of safety rules may result in denial of entry or removal without refund. Follow reasonable instructions from faculty and event staff.
13. Media, Recordings & Attendee Photography
- BCDSC recording & use. We may photograph and record Programs. You grant BCDSC a worldwide, perpetual, irrevocable, royalty‑free license to record, use, edit, publish, and distribute your image, likeness, voice, name, and biography captured at or submitted for a Program, in any media now known or later developed, for educational, promotional, commercial, and archival purposes, without compensation or approval, and you waive moral rights to the extent permitted by law.
- Marketing opt‑out. If you do not wish to be individually identifiable in marketing materials, email info@bcdentalstudyclub.ca at least 48 hours before the event; we will make reasonable efforts to accommodate. (Educational recordings of sessions are ordinarily not subject to opt‑out.)
- Attendee photos/short clips (personal use permitted). Attendees may take non‑disruptive photos or short clips of classroom slides/instruction for personal reference unless an instructor or staff states otherwise. You may not post, publish, stream, or share such captures online or with third parties, and you may not use them for competing education or commercial purposes. No recording of live‑patient areas or any personally identifiable patient information. Upon our request (e.g., if sensitive content was captured), you agree to delete specified recordings/photos.
14. Intellectual Property & Use of Materials
The Programs and Materials are owned by BCDSC or its licensors. We grant you a personal,
non‑transferable license to use Materials for your own professional development. You may not copy, republish, post, sell, adapt, translate, redistribute, or use Materials to create or deliver competing training without prior written consent. If any Materials are marked “Confidential/Not for Distribution,” you must not share them.
15. CE Credits & Certificates
Where CE credit is offered, the number and acceptance are determined by your regulator. We may issue certificates reflecting hours attended; we do not guarantee any authority’s approval. You are responsible for reporting and record‑keeping.
16. Third‑Party Tools, Links & Vendors
Programs may feature third‑party products or links. We do not control or endorse third‑party sites or claims. Dealings with third parties are solely between you and them.
17. Warranty Disclaimer
Programs and Materials are provided “as is” and “as available.” We disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, accuracy, availability, and non‑infringement.
18. Limitation of Liability
To the maximum extent permitted by BC law, the total liability of the Released Parties for any claim shall not exceed the amount you paid for the Program giving rise to the claim. The Released Parties are not liable for indirect, incidental, special, consequential, exemplary, or punitive damages, lost profits, or data loss, even if advised of the possibility. Nothing limits liability where such limitation is prohibited by law.
19. Governing Law & Dispute Resolution (BC)
These Terms are governed by the laws of the Province of British Columbia.
Arbitration. Except for (a) small‑claims court matters and (b) injunctive relief for IP/confidentiality, disputes shall be resolved by confidential, binding arbitration seated in Vancouver, BC, under the rules of the Vancouver International Arbitration Centre (VanIAC) before one arbitrator. No class or representative actions.
30‑day opt‑out. You may opt out of arbitration/class waiver by emailing legal@bcdentalstudyclub.ca within 30 days of first agreeing to these Terms; venue then lies in the courts of British Columbia in Vancouver. (If a law renders any part of this section inapplicable to you, the remainder still applies to the maximum extent permitted.)
20. Privacy (Summary)
We collect and use personal information to operate Programs, process payments, verify eligibility (where applicable), issue CE certificates, and communicate with you. We use service providers in Canada and outside of Canada. See our Privacy Policy for details, including your rights and how to contact our Privacy Officer. (This summary does not limit our obligations under applicable privacy laws.)
21. Miscellaneous
Changes. We may update these Terms; changes apply prospectively from the Effective Date. Assignment. We may assign these Terms; you may not without our prior written consent. Severability; no waiver. If any provision is unenforceable, the remainder remains in effect. Failure to enforce is not a waiver.
Entire agreement. These Terms, Program‑specific details shown at checkout, and any signed waivers/consents constitute the entire agreement regarding the Programs. Headings. Headings are for convenience only.
