Refund & Cancellation POLICY

BC Dental Study Club

(Canadian ProDental Education Network Inc., dba “BC Dental Study Club” or “BCDSC”)

Effective Date: October 17, 2025

Thank you for choosing BC Dental Study Club.

We understand that plans can change, and this policy explains how cancellations, substitutions, and refunds are handled for all our workshops, webinars, memberships, and programs, including the Implant Training Program.

This policy is a summary of our cancellation terms and is incorporated by reference into our Program Terms & Conditions. In case of any inconsistency, the Terms & Conditions govern.

1) Standard Workshops, Webinars, and Events

a) Cancellations by Participants

30 days or more before the event date
- Refund of registration fees minus any actual processing or administrative fees charged to BCDSC by payment processors or third-party platforms.
14 to 29 days before the event date
- 50% refund of registration fees.
Less than 14 days before the event date or no-shows
- No refund.

All cancellation requests must be submitted in writing by email to info@bcdentalstudyclub.ca.

Refunds will be processed to the original payment method, via cheque, wire transfer, or e-transfer, within 30 days of approval.

b) Substitutions

You may substitute another qualified participant up to 3 days before the event at no additional charge.

Any substituted participant must meet the eligibility criteria for that event (for example, valid BC licensure for live-patient modules).

c) Date Transfers or Rebooking

A one-time transfer to the same course within 12 months may be allowed at no cost if requested at least 14 days before the original date and subject to availability. Transfer requests received within 14 days of the event are treated as cancellations.

2) Implant Training Program

a) Registration Fee and Tuition

The registration fee or deposit is required to secure a seat.
Remaining tuition is paid in 10 equal monthly installments from January through October, as outlined during enrollment.

b) Registration Fee Refunds (based on the program start date)

60 days or more before start date: 100% refundable
30–59 days before start date: 50% refundable
Less than 30 days before start date: non-refundable

c) After the Program Begins

Missed module due to documented medical or family emergency → participant may attend the same module in a future cohort, subject to availability and approval; no refund; monthly installments continue.
Withdrawal due to documented medical or family emergency → prorated waiver of future unpaid installments, based on remaining modules, subject to approval by the Program Director.
Dismissal or removal for cause (see Program Terms Section 6A) → no refund and any unpaid installments remain payable.

d) Program Cancellation by BCDSC

If BCDSC cancels the Implant Training Program, participants will receive a full refund of all amounts paid (registration + installments).

Refunds are issued within 30 days and to the same payment method used.

3) Event Cancellations or Rescheduling by BCDSC

If we must cancel or materially reschedule an event or Program, your sole remedy is a full refund of fees paid for that specific event.

We are not responsible for any travel, lodging, or other incidental expenses incurred by participants.

4) Non-Attendance

Failure to attend an event or webinar without prior written notice will be considered a no-show.

No refunds or credits will be issued for no-shows.

5) Force Majeure

BCDSC is not responsible for events beyond our reasonable control—including public-health orders, natural disasters, transportation disruptions, supply shortages (e.g., models or pig jaws), instructor illness, or venue closures—that make it impossible or unsafe to proceed as scheduled.

In such cases, we may reschedule or offer credit or refund options at our discretion.

Include your name, event title, date, and reason for the request.

All refund approvals are confirmed in writing.
